Attendance Recording Problems

Occasionally, attendance recording issues may occur. Most issues can be resolved quickly. Please note that attendance records may take up to 2448 hours to update after you have swiped your student card, so recent attendance may not appear immediately on the system. If an issue remains after this period, please report it as soon as possible so it can be investigated. 

Attendance emails are usually based on your overall attendance level and attendance patterns, not a single recent swipe. Attendance records can also take up to 24–48 hours to update after you have swiped your student card. 

Read the attendance email carefully. If the email asks you to take action, follow the instructions in the email. If you think the issue relates to a card reader problem, follow the guidance in Section C2. 

Next Steps: 

  • Check your attendance record in MyHud after the 24–48 hour update period has passed. 
  • Read the attendance email carefully and follow any instructions in it. 
  • If the issue may relate to a card reader fault, follow Section C2. 
  • If the email is about wider attendance concerns, follow Section F. 
  • Only contact the team if the issue remains after these checks or the email asks you to respond. 

Attendance recording equipment can occasionally experience technical problems. 

If a card reader does not respond, does not beep, does not turn green, or you are unsure whether your attendance has been recorded, continue attending your session and report the issue using the QR code on the poster next to the reader. 

Next Steps: 

  • Attend the teaching session as normal. 
  • Report the reader issue by using the QR code on the poster next to the reader. 
  • Check MyHud after 24–48 hours to see whether attendance has been recorded once the issue has been fixed. 

Cancelled sessions should not normally result in attendance concerns. 

Attendance information may not yet have updated, or the cancellation may not yet have been reported.

Next Steps: 

  • Allow up to three working days for the cancellation to be reflected. 
  • Check your attendance record again later. 
  • Contact the Student Engagement Team at contactattendance@hud.ac.uk if your record does not reflect the cancelled lesson within three working days. 

Not usually. Attendance monitoring arrangements are generally based on attendance at on-campus teaching sessions. Students studying on approved distance-learning programmes may have separate attendance and engagement monitoring arrangements.
